Information we collect

Information you provide

When you fill in the contact form, we collect:

  • your name;
  • your company name;
  • your email address;
  • your phone number (optional);
  • the content of your message.

The form collects nothing else. Please do not include sensitive information in your message. If you email or call us directly, we handle the information you share in the same way and for the same purposes.

Technical logs

As with any website, the host automatically records standard technical server logs when you visit (for example IP address, date and time of the request, page requested and browser type). These logs are used solely to operate and secure the website; we do not use them to identify you or analyze your browsing.

Purposes

Your information is used only to:

  • answer your request and follow up on our exchanges, including as part of any business relationship that results from it;
  • keep the website secure and prevent abuse (for example automated spam submissions).

We do not use it for any other purpose without your consent, except where the law permits or requires it.

Service providers and transfers outside Québec

The website is hosted by Netlify, Inc., and contact form submissions are processed through the Netlify Forms service. Netlify is based in the United States, so your information is transferred to and stored outside Québec and Canada, where it may be subject to local laws. Netlify acts as a service provider on our behalf, in particular for hosting, receiving form submissions and filtering spam (through its subprocessor Akismet).

Before using this service, we carried out a privacy impact assessment as required by law. Given the limited nature of the information (business contact details and a message) and the safeguards in place, we concluded that it receives adequate protection.

Internally, access to your information is limited to the people at Voxivra who need it to handle your request.

Retention

We keep your information only as long as needed to handle your request and, where applicable, to manage the resulting business relationship, and no longer than necessary. It is then deleted or anonymized, subject to any legal retention obligations. Technical logs are kept by the host for a limited period according to its own security practices.

Security

We take reasonable measures to protect your information against loss and unauthorized access, disclosure or modification, including:

  • encryption of all communication with the website (HTTPS);
  • restricted, protected access to form submissions and to our work tools;
  • collecting only the information that is strictly necessary.

No transmission or storage method is completely secure. If a confidentiality incident presents a risk of serious injury, we will act as required by law, including notifying the affected individuals and the Commission d’accès à l’information.

Your rights

Under applicable law, you may:

  • access the personal information we hold about you;
  • request its correction if it is inaccurate, incomplete or ambiguous;
  • withdraw your consent to its use;
  • request its deletion, or that we cease disseminating it and de-index any hyperlink giving access to it, under the conditions set out in the law;
  • obtain portability of the information you provided to us, in a structured, commonly used technological format.

To exercise these rights, email contact@voxivra.com. We may ask you to confirm your identity. We will respond within the time limit set by law, that is, no later than 30 days after receiving your request.
