For online retailers, carriers and third-party logistics providers, most calls come down to a handful of questions: where is my order, when will it arrive, how do I return this, where is my refund. An e-commerce and logistics voicebot connected to your systems answers them instantly, at any hour, and leaves your agents free for disputes and exceptions.
Voxivra builds custom voice agents and IVRs, drawing on more than 20 years of telephony and VoIP experience and a strong track record of integrating with business systems.
Phone channel challenges in e-commerce and logistics
- “Where is my order?” dominates call volume: simple calls, but so many that queues overflow.
- Strong seasonality: Black Friday, the holidays, back-to-school, flash promotions.
- Scattered information: e-commerce platform, WMS, TMS, multiple carriers. Agents juggle screens.
- Returns and refunds: multi-step processes that trigger repeat calls.
- Missed deliveries: costly for carriers and frustrating for customers.
- Multilingual customers who expect instant answers.
High-value use cases
Self-service order tracking
The customer gives an order number or is recognized by phone number. The voicebot checks order and parcel status in real time and reads out the current step and estimated delivery date.
Starting and tracking returns
Eligibility check against your policy, return authorization, label sent by email or SMS, refund tracking.
Delivery management
Booking or changing a delivery appointment, updating an address before shipment, leaving drop-off instructions. For carriers, automated outbound calls can confirm the recipient will be available.
Proactive notifications
Outbound calls or texts when a delivery is delayed or hits an exception, before the customer calls you. See our call automation service.
Context-aware routing
A dynamic IVR recognizes a business account, a high-value order or an open dispute and routes the call to the right team with the record on screen.
| Request | Source of the answer | Automation |
|---|---|---|
| Order status | E-commerce platform, WMS | Full |
| Parcel location | Carrier API, TMS | Full |
| Item return | Platform, return policy | Full or partial |
| Refund | Payment system, ERP | Full |
| Damaged parcel, dispute | Agent | Qualification, then transfer |
Compliance and data
The data involved is mostly personal information: name, address, phone number, purchase history. In Canada, Québec’s Law 25 and PIPEDA may govern its collection and retention; U.S. state privacy laws and the GDPR in Europe may also apply. If the voicebot takes payments, PCI-DSS comes into play. For outbound calls, telemarketing and robocall rules — such as CRTC rules in Canada and TCPA rules in the U.S. — must be considered depending on the nature of the calls. Your exact obligations depend on your context, so legal advice is recommended.
Good practices we apply:
- Proportionate identity checks before sharing an address or order details.
- Data minimization and defined retention periods for recordings.
- Encryption of traffic and secured APIs.
- Isolated payment handling when refunds or payments are processed over the phone.
Integration points
- E-commerce platform (off-the-shelf or custom): orders, customers, returns.
- WMS (warehouse management): picking, shipping, returns receiving.
- TMS and carrier APIs: parcel tracking and exceptions.
- ERP (SAP or other): invoicing, refunds, inventory.
- CRM and help desk: history, ticket creation, call logging.
- Messaging platform: sending labels and confirmations.
Our telephony and CRM/ERP integration service explains how we connect these systems.
A real-world example
The same integration principle shows up in our secure payment voicebot case study: a voicebot that reads and updates the billing system in real time, with handoff to an agent for edge cases.
What makes order-tracking automation work
Automating “where is my order?” calls looks simple, but a few factors make the difference between a voicebot customers use and one they bypass:
- Data freshness. If tracking events reach your systems hours late, the voicebot will give outdated answers. We check how often each source is updated before designing the flow.
- Recognizing order numbers by voice. Long alphanumeric references are hard to dictate. Caller ID lookup, keypad entry and confirmation prompts reduce errors.
- Plain-language status. Carrier codes such as “exception” or “in transit to facility” need to be translated into something a customer understands, with a clear next step.
- Clear exit paths. When the answer is “the parcel is lost,” the customer should reach an agent immediately, with the order already identified.
- Peak readiness. Load testing before the holidays confirms that the telephony platform, speech engines and APIs all hold up under concurrent calls.
Measuring results
Useful indicators include the share of calls resolved without an agent, first-contact resolution, average resolution time, transfer rate by reason and repeat calls within a few days. Tracking them by call reason shows where to improve the dialogue or the integration next.
How we work
- Call reason analysis and review of the data available in your systems.
- Prioritization of flows by volume and ease of integration.
- Dialogue design and transfer rules.
- Integration and load testing ahead of peak season.
- Phased go-live and continuous optimization.
